The example
The steps below use a sample distributor, Lone Star Industrial Supply. Your customers, items and numbers will differ; the page and the fields won’t.
Nueces Bottling ordered too many BRG-6200 (Ball bearing 6200 open) on invoice 3000947. Your sales manager agreed to take 15 back for credit, and the box has arrived sealed. Their return reference is RA-9441.
Enter the Sales Return Order, and post it so the stock is back and the customer is credited.
Step by step in Sales Return Order
- 1.
Search for Sales Return Orders with the magnifying glass at the top, and open it.
- 2.
On the Sales Return Orders list, choose New.
- 3.
Type 100350 in Customer No. and press Tab.
- 4.
Type their return reference, RA-9441, in External Document No.
- 5.
Choose Get Posted Doc. Lines to Reverse... on the action bar.
- 6.
Tick the BRG-6200 line from invoice 3000947, then choose OK.
- 7.
The line came in with all 60. Change Quantity to 15.
Quantity is what the customer is credited for.
- 8.
Set Return Reason Code to NOT NEEDED.
The reason is reported on. DAMAGED or DEFECTIVE would write the goods off instead of putting them back on the shelf.

Leave Receive and Invoice selected and choose OK.
Mistakes that cost money
These are the checks Simetta’s scored test makes on this task, and what each mistake costs a distributor when it happens for real.
Return not received
The goods are on the dock but not in stock, and the customer has no credit for them.
Return quantity wrong
The customer is credited for more (or less) than came back, and it shows up later as a dispute.
Return against the wrong invoice
The credit lands on an invoice the goods never came from, so both invoices end up wrong and the customer disputes the statement.
